Before you begin

  • Open the schedule you want to export or print.

Choose the right format

Match the output to what you need
You needChooseWhat you get
An image for a message or documentPNGOne natural-size image with transparency outside the schedule or frame, not divided into pages. Not an editable backup.
A document to save or printPDFA visual copy arranged across pages, not an editable backup.
A paper copyPrintThe schedule sent to your browser or Android print dialog.
A backup to restore or move laterJSONAn editable snapshot of the active schedule, its settings, scratchpad Notes, and available tasks.

These actions use the active schedule, not your whole collection. On a small screen, open Schedule tools to find Export and Print.

Guest and Free PNG/PDF exports and prints include a watermark. Pro removes it. Invited viewers and editors can export and print an accessible shared schedule without a watermark, regardless of their own plan; the owner’s scratchpad Notes and private tasks are not included.

Adjust the visual output

Open Export → PNG, Export → PDF, or Print and adjust the controls beside the preview. PNG creates one natural-size image without paper settings. PDF and Print use A4 or Letter, Portrait or Landscape, and 24 pt page margins, independently of the timetable view. Use ? beside a setting for help.

Optional visual-output choices
OptionEffect
FrameAdds a theme-matched frame to PNG, PDF, and direct print. Off by default; it does not enable the title or tasks or remove a watermark.
Schedule titleIncludes the schedule name. Off by default.
SpacingCompact uses less space; Spacious gives content more room. PDF and Print are paginated by default, with an optional Fit to one page that can make text very small.
TasksShown in your own schedule’s PNG/PDF when nonarchived tasks are available. None omits tasks; Open includes active tasks; All includes active and completed tasks. Archived tasks are excluded.
Task placementAppears when tasks are included. List covers all seven weekdays; On schedule follows visible days; Both uses both placements.

Font and Font size affect only this output and start from the editor’s settings whenever you reopen the output dialog. Your editor and embedded view stay unchanged. Frame, title, spacing, task inclusion, and task placement are remembered for your own schedule after a successful output action; cancelling leaves them unchanged. Other output controls are not saved.

Shorten empty hours compresses runs of at least three complete hours that are empty across all visible days. A jagged break appears only between retained time sections on the same page. Empty time at the beginning or end is omitted without a break; occupied time is never removed.

For full event titles and descriptions, switch the schedule to List view before opening the output dialog. Review descriptions before sharing the file.

With Pro and custom account branding configured, Frame also includes your logo and label, plus your destination link and accent color if supplied. Branding is not included in unframed output, embeds, or private collaboration output.

Print and visual exports use the light version of the Standard theme by default, even when the app is in dark mode. In dark mode, select Preserve dark theme to use the dark version for this output only. Other schedule themes keep their own colors.

Download a PNG image

  1. Open Export and select PNG.

  2. Review the whole image in the preview, including any tasks. The download uses this same image; zoom changes only the preview.

PNG creates one image without paper settings. This example includes a frame and title but leaves private tasks out.
  3. Choose Download PNG to save the single image. On Android, finish the file action in the system share sheet.

Save a PDF document

  1. Open Export and select PDF.

  2. Review every page. The PDF uses the same page images shown in the preview.

Choose the paper size and orientation, then use the page selector to review every PDF page before downloading.
  3. Choose Download PDF. Save and open the file to check all pages before printing or sharing. On Android, finish the file action in the system share sheet.

Print the schedule

  1. Choose Print or Ctrl/⌘ + P to open the output preview. On mobile, use Schedule tools → Print; on a short desktop, use More → Print. Print on a public shared page opens the same preview.

  2. Choose paper size and orientation, review every page, then select Print to open the browser or Android print dialog.

  3. Where available, match the preview’s paper size and orientation, use 100% scale, turn off headers and footers, and avoid extra margins. Browsers and printers can override these choices, especially on iPhone/iPad. If the system preview differs, cancel, choose Export → PDF, and print the downloaded file instead. Check the final pages and printer settings before printing.

Download a JSON backup

  1. Choose Export → JSON to download directly, without an output dialog. If tasks are loading or saving, the download waits and starts automatically when they are available. If task data is unavailable, resolve the task error or conflict, then try again.

  2. Keep the file somewhere you control. On Android, complete the system file-sharing action to retain a copy.

  3. Check that you have the .json file before clearing browser data or changing devices. Its filename is based on the schedule name.

Restoring JSON does not restore publication, collaboration access, an automatic calendar connection, or uploaded custom background images. Keep the original image separately and re-upload it if needed. Publish or invite people again only if you want the restored schedule shared.

The backup captures available local content, not confirmation of a cloud save or a fresh calendar read. For a connected calendar, it keeps an editable copy of the last successfully synced week, not a newer requested week. It includes no calendar connection or credentials and will not resume sync.

No file appeared or export failed

JSON waits while tasks are loading or saving, then downloads automatically. If an error or conflict makes task data unavailable, no backup is downloaded; resolve the problem, then try Export → JSON again. Task-inclusive PNG/PDF download stays disabled until tasks are available. For an event-only visual copy, choose Tasks → None in the PNG/PDF output dialog.

If the preview fails, choose Try again. Check browser downloads or finish the Android share sheet before assuming a file was saved. For a visual copy, Print is an alternative; it cannot create an editable JSON backup.
